Appendix 16 - Driving Policy

General Information

You are personally responsible for the payment of any fine or fixed penalty incurred whilst in charge of the vehicle.

If you are prosecuted or convicted of a driving offence, which results in a period of disqualification and the holding of a licence is an essential requirement of the job, this may result in your dismissal.

A vehicle is only available if you hold a current and valid driving licence. 

You must immediately report any and every accident or incident in which a vehicle in your charge becomes involved, regardless of fault and whether or not persons or property are affected to your manager.

Only authorised personnel may drive Tracklements vehicles.  Unauthorised passengers must not be carried in vehicles, nor must vehicles be used for personal purposes without permission.

You must ensure that the vehicle is kept in good condition.  This includes keeping it clean and ensuring that the tyre pressure, lights, oil, water etc. are up to the required standard.  You must not drive the vehicle in an unroadworthy condition.

Use Of Private Vehicles On Tracklements Business

If you need to use your own car on Tracklements business, you should only do so with the prior approval of a senior manager and you should ensure that the vehicle is road legal and that you hold a current, valid driving licence and have appropriate business use insurance.

Any travelling expenses incurred in undertaking Tracklements duties in your own car will be reimbursed by the Tracklements in accordance with the HMRC published recommended mileage allowance.

You should ensure that the vehicle is specifically insured for you to drive for business, taxed and where applicable has a valid MOT. You must hold a current, valid driving licence. Copies of your certificates, proof of insurance and your license should be provided to the finance team.

Your safety when driving, and the safety of other road users, is our prime concern. You should therefore obey the Highway Code, pay due care and attention to other road users and not drive whilst tired or unfit to drive, for example through the consumption of alcohol or any other drugs. Always wear your seat belt and make sure your passengers do the same.

The Company will accept no responsibility for any fines or convictions you may incur whilst driving on Company business and you must inform the finance team immediately if you receive a conviction for drink driving or lose your license. Any breach of these rules will constitute a disciplinary offence.

Whilst using your car for business reasons in order to comply with current legislation, you are not permitted to smoke or to allow anyone travelling with you to smoke in the car.

Use of mobile phones, or other electronic equipment in vehicles

You are required to abide by the law and not use any handheld device whilst driving a car. Any breach of these rules will constitute a disciplinary offence.
